Lead time is the promise you'll be judged on long after the price is forgotten. The temptation is to quote the best-case number to win the order — which is exactly how you end up managing an angry buyer six weeks later. Quote the realistic range, break it into stages, and buy yourself margin before you need it.

Quote lead time in stages

For [qty] of [product]: production is [X] days after your deposit clears, then [Y] days shipping by [method] — so [date range] to your door. I'll confirm the exact ship date once production starts. Does that work for your [season/launch]?

Por qué funciona: Breaking lead time into production plus shipping shows the buyer where the time actually goes, which makes the total feel reasonable instead of arbitrary — and quoting a range, not a single date, is what keeps you honest.

Handle a rush request honestly

[date] is tight but not impossible, [name]. To hit it I'd need the deposit and final artwork by [date], and we'd ship by [air/express] which adds about [amount]. If either slips, realistic arrival is [later date]. Want me to hold that production slot while you decide?

Por qué funciona: Naming exactly what has to happen on their side to hit the date shifts the deadline from your promise to a shared plan — and pre-stating the fallback date means a slip isn't a broken promise.

Flag a delay before they ask

[name], I want to flag this early rather than let you find out late: [reason — material delay / capacity] pushes your production by about [X] days, so shipping moves from [old date] to [new date]. If that breaks something on your end, tell me and I'll see what I can move around.
